- Destination and venue selection. We match the location to your group size, budget, and goals, and confirm the property has real meeting space before you commit.
- Flights from multiple cities. Distributed teams are the norm. We coordinate arrivals so people land in the same window instead of trickling in across two days.
- Lodging and room blocks. Negotiated group rates, with the room list managed for you.
- Meeting space and A/V. Booked, confirmed, and documented as a separate line item.
- Ground transportation. Airport transfers, shuttles, and any off-site excursions.
- Group dining. Restaurant buyouts, private dinners, and dietary requirements handled up front.
- On-trip support. Someone to call when a flight cancels at 6am, which it will.
- Presenter & Vendor Hospitatlity. We can either work with your presenter and/or vendor on their rooming situation or go by a package in which you’ve provided for them.
- Extended Stays. We’ll work with your team members, if they’d like to extend their stay.
We work with groups up to 50 travelers on land and up to 100 at sea.

A retreat is only a legitimate business expense if you can show it was primarily for business. That means a real agenda, a booked meeting space, and invoices that separate lodging from meals from entertainment.
We build that documentation into the booking process. You get itemized invoices instead of one bundled total, confirmation of the meeting space, and a record of the business schedule.
To be clear about our role: we structure and document the trip. Your CPA decides what’s deductible. We just make sure they have something to work with.
Where Companies Hold Retreats
The right destination depends on your team, your budget, and what you want out of the week.
Domestic
Drive-to destinations keep costs down and eliminate a travel day. Asheville, Austin, and Scottsdale hit the balance most companies want. Napa, Park City, and Sedona work when the setting is part of the point.
International All-Inclusive
Riviera Maya, Los Cabos, Montego Bay, and Punta Cana are perennial favorites. One price covers rooms, meals, and activities, which makes group budgeting simple. We request itemized folios from the property so that bundled price can still be broken out properly. However, not all-inclusives will provide a breakdown, so it’s important we pick the right one and ask ahead.
International, Not All-Inclusive
All-inclusive isn’t the only way to go abroad. Some groups want a destination with more character than a resort compound, or a setting that suits a working week better than a beach.
- Banff and Lake Louise, Canada. Mountain scenery that impresses without a long-haul flight, and lodge properties with proper conference facilities. Strong in summer and winter alike.
- Nassau and Paradise Island, Bahamas. Short flights from the East Coast, no passport headaches for most itineraries, and resorts set up for groups without the all-inclusive model.
- Vancouver and Whistler, Canada. Easy from the West Coast, with Whistler offering a self-contained village that keeps a group together.
- Costa Rica. Adventure-oriented and well suited to teams that want something more active than a pool deck.
- Bermuda. Quick from the Northeast, with a smaller, more polished feel than the Caribbean resorts.
Going this route means meals and activities get booked separately rather than bundled. That’s more moving parts, though it also produces cleaner itemized records, since nothing needs to be broken out of a package price after the fact.
At Sea
Cruises work well for larger groups and come with built-in meals and entertainment. They also carry specific rules worth understanding before you book, particularly around foreign ports. We walk you through that before anyone puts down a deposit.

Executive Retreats and Leadership Offsites
Smaller groups, higher stakes, different requirements. Executive retreat planning usually means more privacy, better venues, and a tighter agenda.
We handle discreet bookings when the meeting itself is sensitive, including arrangements where the location isn’t disclosed outside the group.
Why Use a Retreat Planner Instead of Doing It Internally
Two reasons, and neither is complicated.
The first is time. Someone on your team can absolutely book 30 flights and negotiate a room block. It’ll take them the better part of a month. That’s a month they’re not doing the work you hired them for.
The second is access. We are travel advisors, which means we have supplier relationships, negotiated rates, and amenities that aren’t available booking direct. Group space at good properties also books out further than people expect, and we’re usually working a year ahead.
